When you visit docksofthebaysupply.com or make a purchase, we collect information you provide directly, including your name, email address, shipping address, phone number, and payment information. Payment processing is handled securely by Shopify — we do not store your credit card details.

How We Use Your Information

• Communicate about your order status and shipping
• Respond to your questions and support requests
• Send marketing communications if you opt in (you can unsubscribe anytime)
• Improve our website and product offerings

Information Sharing

We do not sell your personal information. We share your information only with:

• Shopify — our e-commerce platform for order processing and payments
• Shipping carriers — to deliver your orders
• Product suppliers — shipping address only, for direct-ship orders
• Docks of the Bay Services — if you request installation services

We also use the following service providers to operate the business. Each is bound by data-processing terms and only receives the minimum data needed for its function:

• Stripe — payment processing
• Supabase — database hosting
• Resend — transactional email delivery
• Twilio — SMS messaging (when you opt in)
• Mailchimp — marketing email (only if you opt in)
• Monday.com — job scheduling and customer support workflow
• Retell AI — automated voice phone agent
• Vercel — website hosting and analytics

New-Member Sign-Up Bonus & Cross-Company Data Sharing

When you opt into the New-Member Sign-Up Bonus on a product page, you authorize us to share your name, email, phone number, and property address with our affiliate Docks of the Bay Services for the sole purpose of (a) matching your Maintenance Plan signup to your bonus request and (b) issuing your one-time discount code. When you click through from a Supply product page to the Services Plan signup, we pass an opaque bonus-request ID in the URL — your personal details are then looked up server-side, never echoed back through the URL.

Docks of the Bay Services processes this data under its own Privacy Policy. We do not share this data for marketing purposes, and we do not sell it.

If you also opt into receiving your discount code via SMS, you give one-time consent for a single transactional message containing your code. That consent does not add you to any marketing SMS list. Reply STOP at any time. See our SMS Terms for details.

You may request deletion of your bonus-request record at any time by emailing ahoy@docksofthebaysupply.com — note that doing so before code redemption will void the bonus.

Data Retention

We retain personal data only as long as needed for the purposes it was collected:

• Order & account records: for the life of your account plus the period required by tax and accounting law (currently 7 years).
• Bonus-request records: 24 months from creation (longer only if a discount code remains unredeemed within its 180-day window). After 24 months, records are automatically purged.
• Discount-code records: 24 months after redemption for accounting and audit reconciliation, then the personal identifiers are anonymized.
• Phone-call recordings & transcripts: only as long as needed for quality and dispute resolution, typically under 24 months.

Cookies

We use cookies to maintain your shopping cart and improve your browsing experience. These are essential for the store to function properly.

Phone Calls & AI Voice Assistants

When you call us at (804) 735-0518, your call is answered by Grace, an AI voice assistant. We disclose this at the start of every call. Calls are recorded and transcribed for quality assurance, training, order accuracy, and dispute resolution.

By staying on the line after the disclosure, you consent to (a) speaking with an AI assistant and (b) the call being recorded. If you prefer not to be recorded or would rather speak with a human, you can end the call and email us at ahoy@docksofthebaysupply.com, or request a callback during business hours.

Call recordings and transcripts are stored securely and retained only as long as needed for the purposes above. We do not sell or share recordings with third parties except service providers who help us operate the phone system (e.g., Retell AI, Twilio), bound by confidentiality terms.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time by contacting us at ahoy@docksofthebaysupply.com.

Virginia Residents (VCDPA)

Under the Virginia Consumer Data Protection Act, Virginia residents have the right to:

• Confirm whether we process your personal data and access that data.
• Correct inaccuracies in your personal data.
• Delete your personal data.
• Obtain a portable copy of your personal data.
• Opt out of targeted advertising and the sale of personal data.
• Appeal our response to any of these requests.

We do not sell personal data, and we do not engage in profiling that produces legal effects. To exercise any of these rights or to appeal a decision, email ahoy@docksofthebaysupply.com with the subject line “VCDPA Request.” We will respond within 45 days.
